Booking a venue that includes on-site lodging requires a different checklist than booking a traditional wedding venue. Here's everything to ask, confirm, and verify before you sign.
Booking a private estate for your wedding weekend is a meaningfully different process than booking a traditional venue. The stakes are higher — you're booking accommodations for your entire guest group, not just event space — and the questions you need to ask are different. This checklist covers everything, in the order you should ask it.
Before You Inquire: Establish Your Non-Negotiables
- Guest count (confirmed, not estimated — lodging capacity is fixed)
- Weekend date (and 1–2 backup dates if flexible)
- Budget for the venue + lodging portion of your wedding
- Whether you need the property for a full weekend or just one night
- Any ADA accessibility requirements for guests
Capacity and Sleeping Arrangements
- What is the maximum sleeping capacity of the property?
- How many bedrooms does the property have, and how are they configured (king, queen, bunk beds)?
- Is there a minimum guest count or minimum number of bedrooms required?
- What happens if our final guest count changes after booking?
- Are there any shared spaces between bedrooms, or does each unit have its own private entrance?
Exclusive Use and Privacy

Ceremony and Reception Space
- Where is the designated ceremony area, and what is its capacity?
- Is there a rain plan or indoor alternative for the ceremony?
- Is there dedicated reception space, and what is the square footage/layout?
- What furniture is included (tables, chairs, etc.) and what do we need to rent?
- Are there restrictions on décor, open flame, or any modifications to the space?
Vendor Policies
- Can we use any caterer, or are there required or preferred vendors we must use?
- Are there minimum spend requirements for catering or bar?
- Can we bring in our own alcohol, or does it need to be purchased through the venue?

- How far is the property from the nearest airport, grocery store, and hospital?
Contract and Cancellation
- What is the deposit amount and when is it due?
- What is the cancellation policy — full refund window, partial refund window?
- Is travel insurance or event insurance recommended or required?
- What is covered if the venue cancels (e.g., due to fire, structural damage, force majeure)?
- Are there specific dates blocked for property maintenance or other commitments?

Day-of Logistics
- Is there a point of contact available on the day of the wedding for questions?
- Does the property offer any setup or teardown assistance?
- What is the noise ordinance and quiet hours policy?
- Is there a backup generator in case of power outages?
After You Book
Once you've signed the contract, the checklist shifts to planning. Most venue + lodging packages give you exclusive use starting from check-in, so the first thing to do is establish a schedule for your guests' arrivals, your vendor setup windows, and your ceremony/reception timeline.
Our complete micro-wedding planning guide walks through the full wedding weekend timeline — from vendor coordination to guest communication — with specifics for Smoky Mountain properties like ours. And if you have questions about how our specific venues work, our FAQ page covers the most common logistics questions we hear from couples.
Industry Context: Why These Questions Matter
The average couple books their venue 12–18 months in advance and signs a contract committing 30–50% of the venue fee as a non-refundable deposit. According to The Knot, the national average venue cost is $12,900 — meaning the typical deposit is $3,900–$6,450. That's real money tied to a contract signed before most couples have fully vetted the venue.
The Knot also found that 53% of couples overspent their wedding budget by an average of $7,347. Much of that overrun comes from hidden add-ons not disclosed at booking: vendor access fees, cleanup charges, required rentals, and minimum spend requirements that weren't clear during the initial tour.
"The most powerful weddings are the ones that move the couple and their guests, not the ones with the longest vendor list."
— Rayven Crisafulli, University of Florida
For a walkthrough of what's included in our rental fee versus what to budget for separately, our What's Included page has the complete breakdown. Our FAQ page also addresses most of the contract questions couples ask us.
"Couples often underestimate the need for structure and flow, assuming a smaller guest count means less coordination."
— Lisa Ivler, Wedding Planner, Lisa Ivler Events, quoted in The Knot
Ivler's observation — from The Knot's micro-wedding planning guide — is the reason this checklist exists. A smaller event doesn't mean a simpler contract. The venue questions matter just as much, because the consequences of missing them are the same.
